Primary Purpose:

Under close supervision, provide clerical assistance for the efficient operation of the Special Education Office.

 

Qualifications:

Education/Certification:

High school diploma or GED

 

Special Knowledge/Skills:

Ability to operate multi-line phone system

Effective organizational, communication, and interpersonal skills

Ability to understand and follow detailed written and verbal instructions

Ability to use the computer proficiently for word processing, email, and spreadsheets

Proficient keyboarding skills

Understanding of and commitment to customer care principles

 

Experience:

One year of clerical experience in an office setting, preferred

 

Major Responsibilities and Duties:

Reception and Phones

1. Assist in receiving and directing incoming calls, taking reliable messages, and routing to appropriate staff.

2. Assist with the receipt and distribution of assessment materials.

3. Receive, sort, and distribute mail, messages, documents, and other deliveries.

 

Clerical

4. Provide clerical assistance as needed, including assisting with the scheduling of appointments.

5. Provide support for the District’s Medicaid billing.

6. Enter data and maintain information as required.

7. Monitor SHARS vendor data to ensure district compliance with all program requirements.

8. Maintain department evaluation materials inventory.

9. Fulfill general supply requests for employees at the location.

 

Files

10. Follow TEA Guidelines regarding retention and destruction of records.

11. Compile, maintain, and file all reports, records, and other documents as required.

12. Assist in collecting and organizing records in compliance with open records requests.

13. Assist in collecting records for transfer students.

 

Other

14. Distribute necessary information to itinerant staff as required.

15. Maintain confidentiality. 16. Perform other duties as assigned.

17. Conduct responsibilities in accordance with customer care principles.

18. Follow district safety protocols and emergency procedures.
