Primary Purpose:

The Inventory & Warehouse Specialist is responsible for providing administrative clerical duties related to scheduling the logistics (including manual labor) and managing orders associated with additional furniture purchases for existing campuses to ensure that both product delivery and documentation are tracked in an accurate and timely manner and purchase orders are verified and closed out successfully.

 

Qualifications:

Education/Certification:

High school diploma or GED

Valid Texas driver’s license

Driving record that is insurable with PISD insurance carrier

 

Special Knowledge/Skills:

Ability to maintain accurate inventory control records and reports

Ability to perform multiple tasks simultaneously

Ability to understand and follow detailed written or verbal instructions

Ability to communicate effectively with others

Ability to perform work successfully in Microsoft Word, Excel, and other computer software applications

Strong planning, organizational, and interpersonal skills

Ability to adapt to a changing work environment and to continuously improve operations

Ability to perform work independently without constant supervision

Understanding of and commitment to customer care principles

Ability to diagnose and resolve problems

 

Experience:

Two years of experience in Facilities/Construction/Warehouse environment is preferred

 

Major Responsibilities and Duties:

Purchases & Invoices

1. Maintain a log of purchase orders and monitor order status.

2. Review and verify all products received and work with departments to make corrections where needed.

3. Track invoices in a timely, thorough, and efficient manner.

4. Oversee the purchase and installation of miscellaneous products.

5. Coordinate with campus administration and Administration Office departments to verify furniture inventory.

6. Generate, track, and maintain all project punch lists and warranty logs and verify completion of punch list and warranty items by the contractors and/or vendors.

7. Compile, maintain, and file all physical and electronic reports, and other documents as required.

8. Provide Construction Office clerical staff with information needed for them to process and reconcile purchase orders according to District established procedures.

9. Meet delivery installers as needed.

10. Coordinate multiple new product deliveries and schedule intra-district moves. Create a scope of work (loading and delivery sequence) and a needs list (the request pricing for all furniture needed).

11. Support the Construction Project Manager in a variety of job-related tasks or duties that may be needed for the overall success of Construction Department projects.

 

Furniture & Portables

12. Move and relocate existing furniture from the Warehouse to a campus or from campus-to-campus as required.

13. Assemble furniture as needed.

14. Supervise movers/installers as needed.

15. Coordinate with campus administration and Administration Office departments to schedule movement of portables.

 

Repairs

16. Process warranties as needed.

17. Change locks and align doors as needed.

18. Evaluate furniture repair requests, including those from other District Departments, and order repair parts required to make the necessary repairs.

19. Verify manufacturer, product, and availability as well as send information to requester for evaluation. Requests quotes for product and send to requesting department.

 

Inventory

19. Maintain all current and on-going records and documentation, including furniture inventories, for new campuses and portables, changing furniture relative to grade levels as needed.

20. Maintain overall organization of existing furniture inventory in the warehouse.

21. Coordinate surplus auction furniture inventory with maintenance staff.

22. Research requests for products that are non-district standards.

 

Safety

23. Follow established safety procedures and techniques to perform job duties including lifting and carrying.

24. Operate tools, equipment, and vehicles according to prescribed safety procedures.

25. Correct unsafe conditions in the work area and promptly report any conditions that are not immediately correctable to the supervisor.

26. Follow District safety protocols and emergency procedures.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals; power tools, drills, screw guns, rachets, sockets, pallet jacks, furniture dollies and 2-wheel dollies, driving district vehicles

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions; frequent keyboarding and se of mouse; occasional reaching

Lifting: Frequent lifting and carrying (less than 25-50 pounds)

Environment: May work prolonged or irregular hours

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
