Description

Primary Purpose:

Ensure efficient operation of Transportation administrative office and provide oversight and assistance with accounting, payroll, human resources, shop inventory, and records processes within the department. Work effectively with department employees, central office staff, and other district personnel.

 

Qualifications:

Education/Certification:

High school diploma or GED

 

Special Knowledge/Skills:

Proficient keyboarding and file maintenance skills

Proficient skills in using Google docs, Skyward, Microsoft Suite

Ability to maintain accurate and auditable records

Knowledge of basic budgeting and accounting principles

Ability to give and follow verbal and written instructions

Ability to perform a variety of tasks often changing assignment on short notice

Effective organizational, communication, leadership, and interpersonal skills

Hold a valid Texas Commercial Driver's License (class B), and a Texas Education Agency School Bus Driver Certificate

Ability to pass an alcohol and drug test

Ability to effectively handle conflict resolution

Possess a general knowledge and understanding of the laws, regulations, and district policies, as they apply to transportation

 

Experience:

Two years successful secretarial experience, school district experience preferred

Three years of experience in the transportation industry, preferred

 

Major Responsibilities and Duties:

Office Supervision and Departmental Assistance

1. Plan, organize, and manage the work of specialist and clerk staff to ensure that the work is accomplished in a manner consistent with organizational requirements and policies.

2. Assist with the creation and implementation of work schedules for staff.

3. Collaborate and assist other department supervisors with the formulation and updating of department policy changes, standard operating procedures, goals, and objectives.

4. Minimize service interruptions by managing available resources and responding quickly to unusual situations, such as emergencies, breakdowns, accidents, no shows, etc.

5. Compile, maintain, and file all reports, records, and other documents as required procedures.

 

Reception and Phones

6. Receive calls and respond to questions and/or complaints.

 

Accounting, Budgeting and Inventory

7. Assist in procurement processes, including equipment research and testing, vendor contracts, and requisition approvals.

8. Assist in expenditures for acquisition of new property in order to increase efficiency and services of department.

9. Analyze expenditures and other financial information in order to develop plans, policies, and budgets for improving services.

10. Monitor spending to ensure that expenses are consistent with approved budgets.

11. Assist in contract fulfillment.

12. Maintain confidentiality.

13. Perform other duties as assigned by the Director of Transportation.

14. Follow district safety protocols and emergency procedures.

 

Supervisory Responsibilities:

Supervise, train, evaluate, and recommend the hiring and firing of specialists and clerks in the department.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
